Job Summary
The Regional Advocacy Partnerships Manager is a core member of AVAC’s Partnerships & Capacity Strengthening team, reports to the Director of Partnerships & Capacity Strengthening and will support key projects in Eastern and Southern Africa. This new position will be based in Eastern or Southern Africa, joining other Africa-based team members and partners in developing a robust, responsive Africa-based presence integrated with core AVAC advocacy programs, for collaborative design, implementation, monitoring, and reporting on activities within a strategic work plan.
This position requires experience with and understanding of HIV, global health issues, advocacy campaigns, country health programs and program management. Knowledge of AVAC’s programs and the biomedical HIV prevention research and implementation field would add to the success of this role.
This new position is an excellent opportunity for an individual who is well-networked with civil society health movements, committed to advocating for health equity and well-resourced, and community-centered, evidence-based HIV treatment and prevention programming.
Essential Job Functions
The Regional Advocacy Partnerships Manager will have essential functions related to supporting projects and collaborations across the Partnerships & Capacity Strengthening work stream, strengthening the Advocacy Fellows Program, the Alumni Fellows network and coordinating the African Media Café Engagement project.
Coordinate regional alumni Fellows engagement and support partnerships with advocates, civil society organizations and other stakeholders
The Partnership & Capacity Strengthening team implements several programs to strengthen the HIV and STI prevention advocacy movement. The Advocacy Fellows Program and the growing alumni Fellows network are key within this portfolio of programs. Key responsibilities for this position include:
- Expand and foster collaborations with civil society organizations and networks—based largely in Africa—on strategic action campaigns;
- Develop and implement—with support from team members—a strategy for a regional Fellows alumni network and stronger country coalitions;
- Provide support to recent Fellows alumni in strengthening advocacy programs, including technical assistance, developing work plans and budgets for advocacy projects, training and creating linkages to other projects and networks;
- Support development and implementation of organizational capacity strengthening program for Fellows program and link with other partner organizations and AVAC projects;
- Identify and partner with organizations in countries where Fellows operate to support Fellows, provide strategic linkages in country and support recruitment efforts;
- Provide tailored support for new Hosts and Fellows in countries with fewer AVAC partners;
- Drive alumni engagement to support Fellows recruitment efforts, providing website updates amongst other modes of communication;
- Serve as regional point of contact for queries about the Fellows program from potential applicants and hosts;
- Ensure effective information sharing about the Fellows Program and Partnerships workstream in collaboration with AVAC Communications team through the AVAC website, social media (Facebook, Twitter etc.), newsletters, brochures/handbook and resource packages;
- Research and develop concise, clear, and impact-oriented issue/situation analysis reports for internal/external use; and
- Support expansion of AVAC's partnerships with Key Population-led organizations.
Support implementation of the African Media Science Café Program
The Media Science Café program supports national journalist networks to strengthen capacity of journalists to report accurately on HIV and STI prevention research and implementation and COVID science and implementation. The program works to build connections between journalists and researchers, implementers, policy makers and civil society. Key responsibilities for this position include:
- Serve as front-line contact for media café partners, meeting their information needs, coordinating calls, meetings, reporting and technical assistance requests;
- Help support café conveners to identify timely topics of discussion, identify and prepare speakers, identify materials needed to support cafés, regional trainings and conference trainings;
- Ensure effective information sharing of the media science café program and AVAC’s regional media trainings and other media engagement work through frequent updating of the media science café program webpage on the AVAC website and sharing information with AVAC team;
- Support and maintain online communication portals for sharing information with media science café partners and other media engagement partners, including on Engage.avac.org and WhatsApp; and
- Manage the monitoring, evaluating and learning needs of the program and ensure that information is captured, reported, shared and effectively communicated.
Cross-project functions
Key responsibilities for this position include:
- Collaborate with other AVAC Africa-based colleagues to represent AVAC in the region at relevant meetings and events, ensuring a comprehensive understanding of AVAC’s programs including civil society engagement, advocacy and media engagement;
- Provide operational, technical and facilitation support in leading meetings, workshops, virtual calls, and engagements with partners as needed;
- Collaborate with other AVAC Africa-based colleagues and across AVAC to identify opportunities to synergize projects, foster linkages between programs and partners at country level and around specific interventions and/or initiatives, and to develop and disseminate content;
- Contribute to the development of resource documents, blog posts, partner updates and other communications materials;
- Gather and disseminate necessary financial information to support timely budgeting and reporting needs, as required;
- Contribute to overall functioning of the Partnerships & Capacity Strengthening work stream, including work plan development, reporting, monitoring and communications;
- Ensure effective sharing of knowledge and skills to engage civil society partners in research to rollout of HIV and STI prevention; and
- Other duties as assigned.
Position Qualifications
While no one candidate will possess all the qualifications listed below, the ideal candidate will embody many of the following professional and personal abilities, attributes, and experiences:
- Commitment to AVAC’s mission and values, including fostering an equitable, diverse and inclusive working environment;
- Five years of demonstrated experience in global health, HIV, SRHR or related field in project management, providing skills training and facilitating multi-stakeholder engagements, specifically in eastern and southern Africa;
- Experience with and understanding of global health, biomedical research, country health mechanisms and programs, the media landscape and HIV/AIDS and program implementation;
- Experience supporting media engagement and/or communications campaigns and activities for comparable programs or organizations;
- Experience in advocacy for health and development issues, community engagement for HIV research, coalition-building, influencing national- and international-level health planning and policy;
- Excellent writing, proof-reading and editing skills to produce high-quality documents and deliverables for a range of audiences and stakeholders both online and in print communications (i.e., for advocates, funders, policy makers, media, etc.);
- Demonstrated experience in systems management, with a track record of developing and maintaining highly-organized management systems and processes across teams using Monday.com, Google Suite, MS Office, etc.;
- Detail oriented, excellent organizational skills and ability to prioritize tasks;
- Excellent multicultural and interpersonal skills, including the ability to facilitate relationships and interact effectively with others inside and outside the organization;
- Able to work remotely via highspeed reliable internet and to collaborate with a remote team across several time zones;
- Residency and work authorization within Eastern and/or Southern Africa; and
- Willingness and ability to travel internationally within the Eastern and Southern African region and US to AVAC and partner-convened meetings as needed (estimated travel: 30 percent).
Salary
Expected salary range for this position is $75,000 – 82,000, dependent on experience, and will be compensated in the local currency of the selected candidate.

Job Summary
The Senior Finance Manager is a key member of the finance team. A primary function of this position is managing AVAC’s budgeting, financial reporting, donor reporting, and financial analysis activities, and providing necessary support for program and grant managers in budget management and planning. The Senior Finance Manager may interface directly with funders and will support program staff in developing budgets and preparing budget vs. actual reporting according to donor requirements, and as needed, submission of budgets and reports to the donors. They will prepare subgrantee agreements and financial reporting templates for subgrantees, and track subgrant payments and balances, and support the program teams in the financial management of subgrantees. They will support the organization’s annual financial audit as well as any donor-specific audits. The Senior Finance Manager will lead or support department-wide initiatives and activities that improve timeliness and accuracy of financial reporting and reduce manual effort and manual record-keeping and reporting.
Essential Job Functions
- Manage and lead budgeting activities for grants and proposals as well as organization-wide and program budgeting; provide guidance and necessary support for completion and assembly of related documentation for grants and proposals.
- Ensure timely donor financial reporting in collaboration with finance team and budget managers, prepare and submit invoices and grants reports as needed on a timely basis.
- Manage organizational/departmental budget vs. actual monthly reporting activities for budget and program managers.
- Manage necessary activities to support AVAC’s annual financial audit as well as any donor-specific audits in collaboration with Director of Finance.
- Ensure efficient, cost effective, administration and financial management of grants in compliance with internal and external/donor policies and procedures.
- Ensure establishment of new grant and program codes for tracking spending in all financial systems.
- Interface directly with funders as required.
- Manage activities that support level of effort reporting across the organization in close collaboration with CFO and Director of Finance.
- Ensure all pertinent internal grant financial records, donor/grant files, and documents are accurately and completely maintained and updated as needed.
- Ensure cost-sharing tracking for accurate donor reporting of committed cost-sharing activities.
- Support program teams in establishing subgrants to partners, including preparation of subgrant agreements and amendments. Prepare subgrantee financial reporting templates; track payments and balances against subgrant contracts and assist program teams in financial management of subgrantees.
- Ensure effective sharing of content knowledge of all AVAC-relevant regulations, policies and procedures and donor-specific policies, restrictions, and requirements.
- Work closely with CFO and Director of Finance and external consultants to develop, implement and manage policies and procedures for finance, accounting, auditing, grants and contracts, and procurement.
- Support finance operations as needed and fill-in for or backup existing finance staff where necessary.
- Other duties as assigned.
Minimum Requirements
- 8+ years of grants management or finance and budget management experience in a not-for-profit environment.
- Proficiency with Fund Accounting preferably SAGE Intacct accounting system.
- Superior knowledge of budgets and financial reporting.
- Must possess excellent analytical skills, and the ability to balance multiple tasks simultaneously.
- Proficiency in working with financial data and databases to extract and consolidate financial information for various reports and reporting formats.
- Strong Excel skills.
- Strong organizational and interpersonal skills, and ability to communicate clearly and effectively to move projects and activities forward.
- Strong experience handling sensitive and confidential matters in a professional way.
- Must be detail oriented, a self-starter, and have leadership initiative.
Salary
Expected salary range for this position is $92,000 – 148,000, dependent on experience, and will be compensated in the local currency of the selected candidate.

About Product Introduction & Access at AVAC
The Product Introduction & Access team accelerates product innovation and accessibility to bring effective prevention options to those who need them most. AVAC and a range of partners are working to accelerate the timely, efficient, effective and affordable development and introduction of new prevention options. This growing body of work currently includes:
- BioPIC – Funded by the Bill & Melinda Gates Foundation, this project drives an innovative, integrated and adaptable approach to product introduction, with a focus on long-acting PrEP options in the market and in development.
- Dual Prevention Pill (DPP) Consortium – Funded by the Children’s Investment Fund, this project aims to prepare for rapid and successful introduction of a daily pill for HIV prevention and contraception in 2024/5.
- MOSAIC – Funded by USAID, this project aims to accelerate introduction and scale-up of new and emerging biomedical prevention products for women and girls. AVAC is leading partner in this FHI30-led consortium.
Job Summary
The Program Coordinator supports AVAC’s Product Introduction & Access projects and the Coalition to Accelerate Access to Long-Acting PrEP by maintaining, tracking, synthesizing and disseminating information related to the introduction and access of new HIV prevention options. The Program Coordinator will help AVAC anticipate, collect and distill needed information to various stakeholders needs. This position will also be responsible for reporting and contributing to key deliverables for donor-funded projects and provide coordination and administrative support to the Secretariat for the Long-Acting PrEP Coalition that is convened by Unitaid, WHO, UNAIDS, The Global Fund, and PEPFAR with AVAC as the Secretariat. Along with experience performing the essential functions listed below, a successful Program Coordinator will approach their tasks with confidence and curiosity, think ahead to anticipate needs, and maneuver through challenges with initiative and resourcefulness. The Program Coordinator finds satisfaction in both autonomous and collaborative environments, and relies on processes and planning to keep themselves and the team on track.
Essential Job Functions
Project Reporting
- Monitor project management plans and timelines across numerous work streams including the Secretariat to the Coalition; track project deliverables and support all aspects of reporting, including:
- Collect and consolidate documents for reports across all areas of product introduction.
- Maintain and update dashboard on Coalition activities
- Synthesize information from staff and external partners for internal and external reporting for the donor-funded projects led by the Product Introduction & Access team.
- Write monthly, quarterly, semi-annual and annual reports.
Materials Development and Maintenance
- Distill complex information from multiple sources into concise summaries and visual presentations.
- Track, synthesize and package product introduction information, results, lessons learned and information to make it useful for decision-makers.
- Ensure consistent and correct formatting for graphics, presentations and other documents.
- Develop and disseminate presentations and publications and provide research, writing and editing support as needed.
Knowledge Management
- Collect, maintain, update and curate product introduction content for the AVAC and PrEP Watch websites, and to inform Coalition activities.
- Developing and maintain key materials on the HIV prevention product pipeline, decision-making tools, and global and country data in collaboration with AVAC team and Coalition partners.
- Work across AVAC teams to ensure information and deliverables are disseminated to the appropriate internal and external channels.
- Analyze product introduction information dissemination and uptake for reporting and program improvement.
Meeting Planning
- Support product introduction and access team with planning and production coordination of all external meetings and events.
- Capture meeting records and ensure all actions identified in meetings are tracked.
- Other duties as assigned.
Position Qualifications
- Commitment to AVAC’s mission and values, including our commitment to fostering an equitable, diverse and inclusive working environment.
- Three to four years’ experience in public/global health, consulting, communications, and/or project coordination.
- Excellent writing, editing and content development skills, with an ability to convey complex ideas in a clear, direct style.
- Experience organizing and managing multiple project components while simultaneously interfacing with our diverse partners.
- Excellent PowerPoint, Excel, and word processing skills. Familiarity with project management (i.e. Monday.com or MS Project) and digital marketing tools (MailChimp).
- Experience analyzing data and conveying complex information visually.
